How manufacturers get specified, not just quoted

Architects search in ways your sales team never would. How to be the product that ends up on the drawing, not the shortlist.

For a building products manufacturer, there are two ways your product ends up in a project. It gets quoted, meaning a contractor prices it against alternatives late in the process, usually on cost. Or it gets specified, meaning an architect writes it into the drawing early, by name, before price is even the question. One is a race. The other is a moat.

Most manufacturers pour their marketing into the contractors who quote and almost none into the architects who specify. That is backwards.

Why being specified changes the game

When your product is named in the specification, you start the project already chosen. Substituting you takes effort, justification and risk, so often it simply does not happen. Being specified means competing far less on price, keeping your margin, and building demand that pulls through the whole supply chain.

Being quoted means the opposite: showing up late, unnamed, and fighting on cost against every equivalent product on the market.

How specifiers actually find products

Architects and specifiers do not find products the way your sales team imagines. They search, in specific technical language, at the moment a detail needs solving.

Technical, not promotional

They search for a performance, a standard, a material, a detail. Marketing copy does not match those searches. Technical content does.

Documents, not brochures

Specifiers want data sheets, CAD and BIM files, certifications and specification text they can drop straight into a drawing. Make those easy to find and you make yourself easy to specify.

Evidence of use

A product already used on projects like theirs is a safe choice. Case studies and reference projects do quiet, heavy lifting.

Early, not late

By the time a contractor is quoting, the decision is often made. The specifier decided months earlier. That is the window your marketing needs to win.

Before an architect writes your name into a drawing, they need to clear a short mental checklist. Every item they cannot tick is a reason to specify the competitor who made it easy.

What a product page has to contain

Most manufacturer product pages are written for a buyer and read by a specifier, and those are different people with different questions. A specifier is trying to establish whether your product can be written into a document somebody else will be held to. That is a higher bar than persuasion.

The performance data, in text

Fire rating, U-value, acoustic performance, load, finish and tolerance, written into the page rather than locked inside a PDF. A PDF is far harder for search engines and AI systems to read and quote from.

A downloadable specification

NBS or equivalent, ready to drop straight into a document. Making a specifier rewrite your data by hand is one of the most common reasons a product gets swapped out at the last minute.

Drawings and BIM objects

If your product cannot be placed in a model, it is competing against products that can, and the decision is often made inside the model rather than on your website.

Evidence it has been used

Named projects, photographs of the product installed, and the context it performed in. A specifier is looking for reassurance that they are not the first to try it.

Technical queries are what turn a shortlist into a specification. A generic enquiry form is where those queries go to die.

None of that is marketing copy, which is precisely the point. The manufacturers who get specified treat their product pages as technical documents that happen to live on a website, and they keep them accurate. The ones who treat them as brochures get quoted against instead.

It is worth auditing your own pages against that list once a year. Products change, standards change, and a datasheet that was correct three years ago is now a reason for a specifier to look somewhere else.

Where to put the effort

Build the technical content and resources architects search for. Make your data, drawings and certifications effortless to find and use. Show the projects your product is already on. Do that, and you move from the shortlist a contractor prices to the name an architect writes down, which is a far more profitable place to be.

It is a shift in where the marketing points, from the people who quote to the people who specify, and for a manufacturer it is often the single highest-value change to make.

Being quoted is a transaction. Being specified is a position, and it is held for the life of a drawing rather than the length of a negotiation. The work required to move from one to the other is mostly a matter of writing things down properly.
